What a valid invoice must include
An invoice is a legal request for payment, so a few things are not optional. In the UK, HMRC expects a unique invoice number, your business name and address, the customer's name and address, a clear description of what you supplied, the date of supply and the amount due. If you are VAT registered you must also show your VAT number, the rate, and the VAT amount as a separate line. In the US there is no single federal format, but a usable invoice still needs your details, the client's details, an invoice number, dates, an itemised list and the total, plus your payment terms.
Numbering and terms
Give every invoice a unique, sequential number - INV-001, INV-002 and so on - so you and your accountant can trace each one. Never reuse a number, even for a corrected invoice; issue a credit note instead. Your payment terms set expectations: net 30 means the full amount is due within 30 days of the issue date, while net 14 or net 7 speed things up. Set the due date field to match, and state the terms in the notes so there is no ambiguity.
Tax, discount and the order they apply
This generator applies any discount first, then calculates tax on the reduced amount, which is the correct order in most tax systems. For example, on a 76.50 subtotal a 10% discount is 7.65, leaving 68.85, and 20% VAT on that is 13.77, for a total of 82.62. Need to double-check a rate? The VAT calculator and percentage calculator handle the arithmetic, and the discount calculator is handy for quick markdowns.
